We’ve all experienced meetings that felt like a waste of time.
But team meetings don’t have to be like that. When they’re well planned and well led, they become one of the most powerful ways to improve communication, strengthen teamwork and keep everyone moving in the same direction.
That’s why having a structured agenda matters.
Before inviting people into a room, ask yourself one simple question:
“What do we want to achieve by the end of this meeting?”

The best ideas don’t always come from managers. Some of the most valuable insights come from the people delivering care every day. Team meetings should encourage everyone to contribute.

It’s easy for meetings to become dominated by issues that need fixing. While those conversations are important, don’t forget to recognise what’s going well.

At the beginning of your next meeting, review those actions before moving on to new business. This simple habit creates accountability and helps maintain momentum.
Not every topic needs to be discussed immediately. Using a structured agenda helps keep conversations on track while still giving people an opportunity to raise additional items at the appropriate time.
If a discussion needs more time than the meeting allows, consider arranging a separate conversation with the relevant people rather than delaying the entire group.
Respecting people’s time encourages better attendance and greater engagement.
